This guide explains how to create a new offer in the Koho admin view. The process proceeds in stages, from entering the basic information of the quotation to the preview of the finished quotation.
Content of the instructions:
Create a new offer
In the admin view, go to Offers.
Press the + Offer button in the top right corner of the page or from the midbar.

This will open a quote form with several tabs:
Basic info
Products
Invoicing
Project
Document (offer template)
Preview
The offer can be saved as a draft or as a final one:
Draft: Select the Draft option and save. Visible only internally and does not affect reports.
Final Recording: Press Record directly. You can't delete a saved offer, only accept or decline it.

Basic information about the offer
On the first tab, you fill in the mandatory basic information of the tender:
Name
Customer (searched from existing ones or create a new one with +New customer)
Other information:
Inside comment
Due date (default 30 days ahead)
Probability of approval
Persons in charge
Remember: The customer's information can be edited directly in this view, and the changes will also be saved in the customer profile.
Product
On the "Products" tab, add the products included in the offer:
Press + Add Product.
Select products or product bundles from the list or by search.
Add products to the offer by clicking Add selected products.

You can also edit the products added to the quote if you wish.

You can also add:
Subheadings: groups products visually
Groups: separate product entities, e.g. with a realisation charge or as an option group

Invoicing
This tab defines how the products associated with the agreement are invoiced:
One-time chargeable products: invoice date and payment term
Seasonal products: contract validity, billing interval, and pre/post-billing

Note! Invoicing is not generated at this stage — the information is transferred to the contract when the offer is accepted and the contract is activated.
Document (offer template)
Offer and document templates are always tailored to the customer's visual appearance and needs. For this reason, building document templates is always work that requires an additional fee. Please contact our customer service asiakaspalvelu@kohosales.com if you would like to enable this feature.
On the "Document template" tab, you can define what the finished tender document will look like.
Template and file format: Select the offer template to use (if your company has more than one) and the file format of the offer.
Page breaks: Specify where to add a page break to the quote document.
Free fields: You can write your own texts or add ready-made text paragraphs, i.e. expressions.
Press the "Add Expression" button to add a ready-made text section.
Clauses speed up the process of making offers, as there is no need to rewrite frequently repeated texts.

Expressions can be managed in Settings → Documents → Expressions.
You can also add:
Attachments: Open the menu or download a PDF file.
Assignment agreement: Add an agreement from Koho's Contract Engine.

Preview
Press the Preview tab to review the quote document. The preview will open in a new window.
N.B. The preview shown below is just an example - a customized offer template will appear in the preview.
