Convert a quote to a contract in Koho – create, confirm, and activate

Based on the accepted offer, an agreement can be formed with Koho. This process ensures that the contract has the correct products, billing information, and verification method before activation.

1. Acceptance of the offer

Open the desired offer in the preview window and press the Accept button. This will open a new window where you can start building a contract based on the quote.

2. Selection of products

In the Products section, the user can still specify which products in the quote are transferred to the contract. The offer may have included lines that the customer does not want, or the offer may have been structured in such a way that the customer can choose one service or product package that suits them from several service packages.

3. Checking your billing information

In the Billing section, the settings are copied directly from the quote.

• Check that all billing-related information is correct.

• If necessary, you can edit your billing information at this point.

4. Confirmation of the offer

The offer must be confirmed before the final conclusion of the contract.

• From the Level menu, choose how the offer has been confirmed: verbally, by email or by document.

• If you wish, you can attach a confirmation document to the agreement.

• If verification is not done at this point, the agreement will remain in the status "Not confirmed". In this case, you can print out the contract file and sign separately. In this case, the contract must be confirmed by hand at a later date.

  

5. Create a deal

Once the products and confirmation information are set up:

• Press the Create Agreement button.

• Koho creates an agreement based on the selected information.

6. Agreement Confirmation and Activation

If the agreement was not confirmed at an earlier stage:

• The contract will show a "Confirm" button (not yet "Activate").

• In the contract confirmation, you can also check the customer and billing information as well as the level of confirmation.

• If necessary, you can also add a confirmation document to the agreement.

Once the contract has been confirmed, it can be activated.

7. Activation and billing

Activating a contract triggers contract invoicing.

• Find the right deal on the deal page and open the deal preview

• Activation is done by pressing the Activate button.
