These instructions explain what work orders are, why they are used and how they are managed in Koho. Work orders help to plan and monitor work as a whole. They can be used to plan and manage employees' work, schedules and responsibilities, and to ensure that work progresses on time.
What is a work order?
At Koho, a work order is a work management unit that is used to plan, guide and monitor regularly recurring work.
The work order tells what will be done to the customer, who is responsible and on what schedule the work will be repeated.
It can be used to ensure that ongoing work, such as monthly accounting or payroll, progresses on time and is properly documented.
Example: monthly accounting for a customer can be defined as a recurring work order that includes several actions with different deadlines.
Content of the instructions
1. What Work Orders Are and How to Use Them
Work orders are displayed on Timetracking → Assigments: Own tab. The view lists the work orders assigned to the employee in chronological order, with the closest date first.
Each work order can contain individual tasks or entire workflows that are defined as actions. These actions can have their own deadlines and description data, which helps the employee keep track of what is Tehtävä and when. Work orders also provide supervisors with visibility into the status of tasks and resourcing needs.
To use a work order:

Go to the Assignments: Own tab.
Press Continue to start clocking the work order.
Complete the actions attached to the work order, and press Stop when you're done.
Go to the Unconfirmed tab, where you can make changes to the shift, approve the shift, and mark the stages of the work order as completed.
When all the actions have been marked as complete, approve the work order.
N.B: If you approve a work order before all operations have been completed, the work order will go to invoicing, but it won't be marked as complete. This can affect reporting or assessing the progress of the work.

Tip: Tasks on the work order can be marked as done from several different places! You can mark tasks by opening a shift, either in the work orders view, in the actions view
and without confirming in the view. You can also mark the tasks already when the work order is clocked by clicking on the task list.
2. Distribution of work orders to employees
If the person responsible for the work order is absent, you can share it with another employee:
Select a time interval and a worker.
Click Share or Share Selected. (either in Own or All view)
Select the new assign(s) and distribute the work orders.

3. Assignments in the calendar view
Shifts → Actions: On the Calendar tab:
You'll see the days that have been scheduled for action. The calendar is numbered for the days on which the deadlines for the measures to be carried out have been marked.
Click on the day to see the details by customer.
Perform the actions or mark several as completed at once.

4. Assignments in the list view
Timetracking → Actions: All tab:
You can see all the actions of the company by row.
Filter by customer, employee, or time limits.
You can run, edit or start clocking directly from the list.

5. Review and manage all work orders
Timetracking → Assigments: All tab:
View and manage all open work orders.
Filter by different criteria.
Start time tracking, edit actions, or share work orders.

6. Work orders without a to-do list (Timecard view)
If your company doesn't have a to-do list:
Work orders can be found under Timetracking → Time card: Work orders.
The view works similarly to "Work orders: All", but without action lists.
Summary
Work orders make work planning and monitoring more efficient. They provide visibility into the situation of the tasks and enable clear instructions for employees. Use work orders to your advantage as a tool for effective project management.
