Prev Next

In this guide, we go through three key views through which the administrator can view and edit work orders: Actions, Work orders and Work order templates.

Content of the instructions:

  1. Requirements tab

  2. Assignments tab

  3. Assignments templates tab and editing an existing work order

1. Requirements tab

On the Requirements tab, the administrator can see all upcoming actions from the calendar view, approve/perform these, and edit products.

Navigate to Management → Projects → Terms and requirements → Requirements.

In this view, you can:

  • View actions in calendar format

  • Filter the view by customer, date, team, and more

At the bottom of the calendar, you'll see a list of actions by customer. Clicking on the customer row opens a more detailed list of the actions to be taken, their deadlines and time estimates.

You:

  • To open a work order, click its name

  • Mark the action as completed ("Mark completed")

  • Edit products by clicking on the name of the work order such as "monthly job" (name, quantity, price, invoice description, etc.)

  • Removes products if necessary

Further instructions on how to use the measures: Työmääräysten käyttäminen.

2. Assignments Tab

On the Assignments tab, you will see a list of all the work orders that have been created. You:

  • Narrow the list by time range, category, or status

  • Group the list by customer or category

  • Search for a specific work order

The list shows information about the customer, the person in charge, the due date, and the measures and hourly budgets related to the work order.

Clicking on the work order opens the edit view, where you can:

  • View and edit the due dates and execution dates of actions

  • Lock the actions from changes when editing the work order template, i.e. if the work order is locked, the changes to the work order template will not be updated to it.

3. Assignment templates tab and editing an existing work order

Go to Projects → Assignment templates.

View:

  • At the top, you'll see ready-made templates that you can use to create new work orders

  • Below is a list of all work order templates saved in Koho

To edit an existing template:

  1. Click the name of the work order

  2. Select Edit

  3. Make the necessary changes and save
