Time entry line functionality and management

This guide describes how to edit hours, add products to hour entries, and allocate hours to customers in the Unconfirmed view.

  1. Functions

When you click the Stop button on an active hour entry line, the line moves to the Unconfirmed tab. This tab shows all the time entries that have been entered but have not yet been approved.

Row actions

  • Star: Set the row as a favorite or remove the option as favorite.

  • Checkbox: Select multiple lines for simultaneous editing (e.g., combo shifts).

  • Item: Click the item to open the edit view.

  • Continue: Resume the time entry.

  • Approve: Approve the hour entry for invoicing.

  • Delete: Permanently delete the row.


  1. Editing view

Open the edit view by clicking the name of the hour entry row. Here you can edit:

  • Date and time

  • Hours (billable and internal)

  • Customer and Task

  • Description of the invoice and internal comment

  • Attachments and products

  • Travel expenses and calculation items

  • Alignment with assignment

Save the changes with the Save button or delete the row with the Delete button.


  1. Add a product to a session

  1. Open the hour entry in the edit view.

  2. Select Product in the lower-left corner.

  3. Select the desired products and press Add selected products.

  4. Edit as needed:

    • Product name, quantity, price

    • Calculation object, attachment, invoice description

Delete the product with the Delete button. Be sure to save your changes.


  1. Splitting hours for customers

  1. Open Editing view and select Partition.

  1. Go to the Partition by hand tab.

  2. Select a customer from the drop-down menu and enter the number of hours.

  3. Click Partition and Koho will create new hour entries for the selected customers.

Koho marks the divided entries with an internal comment indicating the source and date of the partition.
