+Session button

The +Session button can be found in several different views in Koho, but its functionality is always the same:
👉 It is used to record work done for the customer.

Shifts can be recorded:

  • into the future (e.g. planned shifts)

  • retrospectively (e.g. work that has already been done)

Depending on the context, some of the fields are filled in automatically.
For example, if a button is applied to a customer's work order, it is automatically assumed that the job will be posted to that customer – and the customer information will be pre-populated.


Two different ways to create sessions

Under the +Turn button, a view opens with two tabs:

  1. Session
    →, one individual session is created.

  2. Season
    →, several sessions are created at once, for example on a weekly basis.

Both methods are used to record shifts, but the user can choose the method that suits them as needed.

 


Session

The session consists of the following information:

  • Who the work is done for

  • What has been done

  • From when and until when

  • and/or for how long

  • When the work is done

The shift can also include a bill description, an internal comment or a product - such as a meeting fee with a unit price.

Hint

Frequently used calculation legends and internal comments can be predefined as pre-selectable from the drop-down menu so that they do not have to be repeatedly written by hand. These can be found in Settings - Documents - Text templates.

⚠ Possibility of error

If there are interpretations of collective agreements in use, for example, for evening or night work, it is important to include the start and end times of work. If all the work is of equal value, the number of hours is enough. This must be taken into account in local guidelines.

Hint

The "Internal comment" icon after the text can be used to mark the shift for the invoicer to take into account. The marked shift will not be transferred through invoicing until the handler has acknowledged the comment. In other words, the entry that needs to be reviewed will not be forgotten, and there is no need to actively think about it.


Season

On the Period tab, you can create shifts for a period of your choice, i.e. several at a time. The data to be entered is the same as above, but due to the time window, the days of the week and midweek holidays are included in the definition.

Another difference is that the duration of the work can be marked as Full day instead of hours, in which case the employee's working time target is used as the duration of the shift. Or Working days, when working hours are recorded on the days on which the expert has a working time target.

Possibility of error

The shifts do not reserve a time marked for them, i.e. they can be recorded on top of each other.
