Setting working time goals

Prev Next

In this guide, you will learn how to create, edit and delete employee-specific lesson goals in Koho. The goals help to monitor the employees' accumulated hours and possible flexitime. These instructions deal with working time targets.

If you are looking for instructions on lesson goals, go to a separate guide: Paina tästä

Content of the instructions:

  1. What are working time targets?

  2. Setting working time targets

  3. Editing working time targets

  4. Editing working time targets

  5. Tips and considerations

1. What are working time targets?

The working time goals define the amount of daily working time for the employee (e.g. 7:30/day), against which the Workday clock monitors the actual and flexible hours.

  • Goals can only be set by the administrator

  • They're required to keep track of flex balances

  • Goals are created for each user and are visible in the employee's settings

2. Setting working time targets

In stages:

  1. Go to Settings → Users section

  2. Open the Shifts tab

  1. Press the Term button

  1. In the window that opens, specify:

    • Hours / day: e.g. 7:30

    • Assignment: the time period that the goals apply to

  2. Select the days of the week:

    • E.g. Mon–Fri

    • Tick "No midweek holidays" if you don't want goals for midweek holidays

  3. (Optional) Specify from the start of use: the goals are activated from the day the employee is established in Koho

  4. Select your employees:

    • Singly

    • The whole team at once

    • All users at the touch of a button

  5. Press Save.

✅ After this, the goals are displayed on the "Hour goals" tab in the employee's user settings and affect the flexitime tracking.

3. Editing Time Tracking Goals

Goals are not directly edited – instead, new goals are created on top of the old ones, using the same instructions as in step two.

🔁 If goals no longer work (e.g., they appear on public holidays when they shouldn't), it's a good idea to delete and recreate the old goals. See point 4.

4. Removing Working time targets

Goals can be removed by setting 0 hours/day for that period:

  1. To create new lesson goals, press Period

  2. Set:

    • Hours/Day: 0

    • Define the period for which you want to remove goals (you can set the end date far in the future)

  3. Be sure to also select:

    • The days of the week for which you want to remove targets (including Sat–Sun, if necessary)

    • Deselect "No midweek holidays" if you want to remove midweek holiday goals as well

  4. Select the employees and press Save.

5. Tips and considerations

  • Koho's midweek holiday calendar only works correctly if the goals are set no more than 2 years ahead from the present.

  • If goals start appearing on public holidays, recreate them as described in step 2.

  • Use the Team and All options to update goals for multiple users at once.
