How to make efficient use of product groups, product packages and special groups in Koho

With the help of this guide, you will learn how to create and utilize Koho's product groups, product packages and special groups. These functions are managed from the Settings > Products section of the Administration side.

Categories

Product groups enable products to be classified by category. They make it easier to manage, report, and use products. Please note that a single product can only belong to one product group at a time.

Create a product group

1. Go to Settings > Products > Categories.

2. Click + Product group.
   

3. In the window that opens, fill in the following fields:

   • Name: For example, "Hosting"

   • Label: (Optional) Learn more about the group's content

   • Parent category: Sets a group as a subcategory of another group

   • Image: (Optional) Visual Tag

   • Products: Select products directly or using special groups. You can select the products of the entire group using the "Select all" buttons.

4. Click Save.

Edit or delete a product group

• To open a group, click its name on the "Product Groups" tab.

• Edit the required information and save.

• To delete the group, click Delete. This moves the products to the "Unclassified" group.

Product packages bring together several products into a single entity. Packages can be added to e.g. offers, contracts, invoices and hour registrations. Each product can be assigned its own quantity and price.

Create a product bundle

1. Go to Settings > Products > Product Bundles.

2. Click + Package.
   

3. On the Product Bundle tab, fill in:

   • Name

   • Legend (optional)

4. Go to the Products tab and click + Add Product.

5. Select the products by searching or browsing the list. Click the + button to add products.

6. Click Add selected products.

7. For each product, specify:

   • Quantity and unit price

   • Item (Package Specific Name)

   • Invoice Label, Internal Comment, VAT%, Cost and Discount [Figure 6: Product Edit Mode in Product Bundle]

8. If necessary, add subheadings or groups.

9. To remove the product, press the trash can icon.

10. Save the product package.

Special Groups

Special groups enable versatile grouping and viewing of products, especially for reporting purposes. One product can belong to several Erikoisryhmäat the same time.

Create a special group

1. Go to Settings > Products > Tags.

2. Click + Tag.
   

3. Specify the following information:

   • Name

   • Legend (optional)

   • Products: Select products individually, by group, or from existing groups.

4. Click Save.

Edit and delete a special group

• Click the name of the group to open it.
  

• Make your changes and save.

• To delete the group, click the Delete button.

Viewing Tags

1. Open the special group and select Show special group.
   

2. See:

   • Number of products and services

   • Which products belong to which special group

   • "Products sold" listing, if products have been added to contracts

   • Contract price and margin information

Utilisation of the matrix

On the "Special Groups" page, you will find a matrix view where you can view the groups and the products they contain. Click a cell to add or remove a product from the group.

Hint: Efficient use of product groups, packages, and special groups improves product manageability, billing accuracy, and reporting clarity.
